FREQUENTLY ASKED QUESTIONS

What are the Performance Requirements?

All performances will be held in an outdoor, covered stage pavilion.  There are no musical selection requirements.  Music selection is at the discretion of the Director.  Instrumental ensembles are allowed 25 minutes.  Choral ensembles are allowed 20 minutes.  Each ensemble must complete the following in the allotted time period:

 1.      Set Up (including re-arranging stands, chairs, etc.), 

2.      Perform an optional warm-up not to exceed 3 minutes in length,

3.      Perform two selections of Director’s choice for adjudication, and 

4.      Clear the stage.

A group’s stage time begins when the first member of the group enters the stage.  Total stage time cannot exceed the given time allotment.

What is included in the adjudicator packets and how are scoring/awards done?

The Director must furnish 2 judge’s packets consisting of original scores for each adjudicated composition with the measures numbered and performance selection sheet.  An extra performance selection sheet must be provided for the announcer.  Score Sheets will be distributed at the Awards Ceremony to be held at 4:30 p.m. on Friday and 4:30 p.m. on Saturday on the IGA stage.  Each day is a separate contest.  Each group will receive a trophy with the appropriate rating of superior, excellent, good, fair or poor and will be ranked within their classification.  Overall trophies will be presented to the highest scoring ensemble for Concert Band and Choir in the High School, Middle School/Jr. High, and Elementary school divisions.  There must be at least two or more competing groups within each division for these trophies to be awarded. 

How do I sign my group up and when is payment due?

The registration sheet should be mailed, emailed or faxed to 270-781-0524 as soon as your group has decided to participate.  Performance times will be assigned on a first come, first served basis.  Invoices will be sent out by April 1st through the email that you provided for the number of participants you have sent in on your registration form.  The number of participants can be updated anytime by calling 270-781-7634.  Payment must be received by April 27th in order to participate.  If additional tickets are needed, they can be purchased right up until the event date.  We accept school or band booster checks, Master Card, Visa and Discover. 

Do I have to pay for the Director, bus drivers and chaperones?

The Director for each group submitted on a separate form will be free.  Bus drivers with a CDL license will be admitted free.  Chaperones will need to pay $17.00 in advance or at the gate or we can bill them to you separately.

Where is Beech Bend Park located?

Beech Bend Park is located in Bowling Green, Kentucky just one hour north of Nashville and one hour and 40 minutes south of Louisville.  We are easy to get to.  Just take I-65 to Exit 28, follow 31W south for 4 miles and turn right onto Riverview Avenue.  Beech Bend Park is 2 miles down the road.  Specific directions can be found on our website at www.beechbend.com.

Do I have to pay for parking? Sunscreen? Soft drinks?

Beech Bend Park is the best value around.  All guests receive free parking and free sunscreen.  A new low cost soft drink program has been implemented this year.

What equipment does the park provide?

Beech Bend Park will provide a stage area, music stands, chairs, small set of risers(will hold around 20 performers) and keyboard for choirs, 4 microphones, 4 stage monitors, timpani, bass drum and xylophone.  You are required to bring your own mallets, drum sticks, etc.

Where do we go when we arrive at the park?

Beech Bend Park opens at 9:00 a.m. central time on Friday, May 10th and Saturday, May 11th at 10:00 a.m. central time. There will be a registration table at Beech Bend Park’s main ticket gate.  Please check in there.  Your tickets and meal tickets (if purchased) will be waiting for you at the registration table.  There are no dressing rooms available other than restrooms in the park.  We suggest students wear shorts and tee shirts so they can put their uniforms on in the bus or wear summer uniforms. 

How many performing groups can I bring?

You may bring as many as you like, just complete a registration form for each.

If a student is in more than one ensemble, do they have to pay twice?

No, the student will only have to pay once.  We encourage students to participate.  Just indicate on the registration form when you have a duplicate student so we will only sell one ticket for that student.

Do all members of my group have to take the meal plan?

All members of the group need to purchase the same plan.  If you purchase meal vouchers for one, then all tickets should include meal voucher program.  The meal vouchers will be distributed to the Director who then passes them out to each student when the admission tickets are distributed.  The meal voucher can be used in any of our food service areas whenever the student chooses.  You do not have to eat as a group, unless you instruct your students to do so.  The meal voucher gives your students the choice of either a hamburger, cheeseburger or pizza and potato chips. 

Is there a registration fee and when is the last date I can sign up?

There is no registration fee as long as you register by April 27th.  There is a $100 late registration fee if you sign up after April 27th.

What happens if it rains?

The show must go on!  The warm up area and the performance area is under roof.  The amusement park will not close due to rain.  Some rides may close due to heavy rain, strong winds and lightning for a short time.  All rides and attractions will re-open as soon as the threatening weather has stopped.

Are there other attractions in the area?

Bowling Green offers many attractions if you want to extend your day trip into a two day adventure.  Beech Bend Park offers a second day ticket for just $17.00.  There is also Lost River Cave, the National Corvette Museum, the Historic Railpark Train Museum and many other fine attractions just minutes from the park.

Do we have to wear uniforms?

Uniforms are not required.  You may want to wear matching school tee shirts or golf shirts and shorts.  You will not be penalized for dressing casual.  We want you to be comfortable and have fun in the park.

Can the choral director accompany the choir?

Yes, there is no penalty for this.

Can I bring taped accompaniment?

Yes, if there are no vocal parts on the CD.  We recommend bringing your own CD player.

When will I find out our performance time?

Performance times are scheduled on a first registered, first serve basis.  Performance times will be determined by May 3rd and you will be contacted with yours via email.  We will work with any group if a conflict arises.

Can I video tape or photograph our performance?

Yes, you may do both as long as it does not interfere with the performance.
